Where is my packet?

The Packet tracking page enables you to see where your packet is in the academic review process, as well as the type of packet (appointment, meit, promotion, etc.) and the effective date of the action.

To better understand the information displayed in the "Where is my packet?" section of this page, below is a list of ALL steps in the Academic Review process - your specific academic action may not require all of these steps. Also, at any point in this process, the packet may be routed backwards to address issues:

  1. HR Shared Services (AP Generalist) creates packets based on feedback from the Department Chair after a review of the Eligibility List (who is eligible during this academic review cycle)
  2. AP Generalist notifies Candidate using Advance (email is sent to Candidate)
  3. Candidate updates My CV and copies it to the packet, as well as providing names of potential reference-letter writers
  4. AP Generalist solicits reference letters
  5. AP Generalist manages Departmental Review (invites designated departmental faculty to review your packet)
  6. Departmental Review of the packet materials (reviewers provide feedback to the Chair about your academic accomplishments in relation to the requirements for the proposed academic action (merit, promotion, etc.))
  7. Chair makes recommendation (Chair Letter) based on departmental feedback
  8. AP Generalist makes a final review of packet and routes to Candidate
  9. Candidate reviews the packet prior to the Dean review (Candidate has seven days before the packet automatically routes to the AP Specialty center for pre-Dean review)
  10. AP Specialty Center reviews packet for completeness and confidentiality issues. Don't be concerned if your packet stops at this location for an extended period; all packets funnel to this location and can experience a delay due to the number of packets, converging deadlines, and rigerous compliance review of each packet prior to the Dean review.
  11. Dean Review - may include a final decision for academic actions that are delegated to the Dean (normal Merits, junior faculty appointments, non-faculty academic actions, etc.)
  12. AP Specialty Center reviews packet to determine next steps ("Post-Dean")
    1. Send notification to Candidate for actions delegated to Dean
    2. Route to CAP for actions that require Academic Senate review (faculty appointments at associate and full ranks, faculty promotions, merits to step 6 and A/S, accelerated merits and promotions)
    3. Route to VPAA
  13. CAP Review, if necessary
    1. After CAP Review, the packet is routed back to the AP Specialty Center for assessment prior to routing to VPAA ("Pre-VPAA")
  14. VPAA Review, if necessary
    1. VPAA has the final authority on all packets; the Decision, if not delegated to the Dean, is made here
  15. AP Specialty Center final review and notification to Candidate
  16. Packet status is changed to Complete (no longer a "Packet in process")

When you have questions about the academic expectations for your series/rank/step, please ask your Chair and/or Dean's Office. If you have questions about where your packet is, or why it appears stalled at a particular location, send an email with your questions to your AP Generalist. He/she will help you get answers to your questions.
